1. Introduction
This privacy policy explains how the Check Mate application, or its data controller, collects, uses, stores, protects and discloses the personal data of Check Mate users.
Check Mate is an application for connecting users around selected activities. It allows users to create activities, sign up for activities, communicate with other users, and search for activities or users within an approximate area.
We collect personal data only to the extent necessary for the operation of the application, user safety, the prevention of abuse, communication between users and improving the user experience.
2. Data controller
The data controller is:
Check Mate — Controller: Marko Saje — Email: [email protected]
Once the company is formally registered, the data controller will be the relevant legal entity, and the company details will be published in an updated version of this privacy policy.
For questions regarding privacy, personal data or exercising your rights, you can contact us at the email address above.
3. What personal data we collect
When you use the application, we may collect the following types of data:
a) Data for creating and using an account
- first and last name,
- email address,
- phone number,
- profile picture, if the user adds one,
- user account data and account settings.
We use the phone number exclusively to create and verify the user account, to send a one-time code or password, and for the one phone number – one account system. We do not use phone numbers for advertising, sales calls or promotional messages.
b) Activity data
- activity title,
- type or category of the activity,
- time and date of the activity,
- approximate location of the activity,
- activity description entered by the user,
- data about signing up for an activity,
- data about participation in or interest in an activity.
To create an activity we need basic data such as the title, time and approximate location, because without this data the activity cannot be displayed correctly to other users.
c) Location data
- displaying activities nearby,
- searching for friends or other users within a selected area,
- displaying relevant activities based on approximate location,
- calculating the approximate distance between the user and an activity.
The application uses only approximate location. We do not publicly display the precise GPS locations of other users. The user can turn off location sharing in the application or in the device settings. If the user does not share their location, some features — such as searching for users or activities nearby — may not work or may be limited.
d) Messages and communication between users
- the content of sent and received messages,
- sender and recipient data,
- the time a message was sent,
- technical data needed for the delivery, display and security of messages.
Messages are not publicly visible to all users. They are visible to the users taking part in the individual conversation and, where necessary, to authorised Check Mate personnel, when this is required for security, handling reports, preventing abuse, technical support or compliance with legal obligations.
e) User-generated content
- activity descriptions,
- profile data,
- images, if the user adds them,
- messages and other communication.
The user is responsible for the content they enter or publish themselves. The user must not publish the personal data of other persons without permission, nor unlawful, offensive, misleading, discriminatory, violent, sexually explicit or otherwise inappropriate content.
f) Technical data
- IP address,
- device identifier,
- Firebase ID or similar technical identifiers,
- data about the device, operating system and application version,
- data about sign-ins, errors, application crashes and security events,
- basic log records needed for security, technical operation and the prevention of abuse.
We use this data to ensure security, fix technical errors, prevent abuse and improve the stability of the application.
g) Analytics data
- data about the use of application features,
- data about errors and crashes,
- data about application stability and general use.
We do not use analytics data to sell personal data or to display personalised ads. If the application were to use analytics that is not strictly necessary for the operation of the application, we may ask the user for separate consent where required under applicable law.
h) Push notifications
If the user enables push notifications, the application may store a technical device identifier or Firebase Cloud Messaging token, which is needed to send notifications.
We use this data exclusively to send notifications related to the operation of the application, such as notifications about activities, sign-ups, messages, account security or important changes in the application.
The user can turn push notifications off at any time in the application settings or in the device settings.
4. Data we do not collect
For the sake of clarity, we expressly state that Check Mate currently does not collect or use:
- precise GPS location for public display to other users,
- continuous background location,
- contacts from the user's address book,
- health data,
- financial or payment data,
- advertising ID for advertising purposes,
- data for personalised ads,
- content from other applications or the user's private files.
If the scope of data collection changes in the future, we will update the privacy policy and, where necessary, obtain additional consent from users.
5. The purposes for which we use personal data
- creating, verifying and managing the user account,
- verifying the phone number and preventing multiple or fake accounts,
- creating, displaying, editing and deleting activities,
- sign-ups for activities and basic management of participation,
- searching for activities or users within an approximate area, when the user enables location,
- communication between users via chat or other messages,
- application security, the prevention of abuse and the handling of reports,
- technical support for users,
- fixing errors and improving the operation of the application,
- complying with legal obligations and protecting the rights of users or Check Mate.
6. Legal bases for processing
- Performance of the service: where the data is needed to create an account, use the application, create activities, sign up for activities or communicate between users.
- User consent: where the user voluntarily enables the use of approximate location, adds a profile picture, allows optional analytics or other optional features.
- Legitimate interest: where we use data for application security, the prevention of abuse, technical operation, improving the service, or protecting the rights and interests of Check Mate, its users or third parties.
- Legal obligation: where we must process or disclose data due to applicable law, court proceedings or requests from competent authorities.
The user may withdraw consent at any time where processing depends on consent. Withdrawing consent does not affect the lawfulness of processing carried out before the withdrawal.
7. Who can see the data
Certain data may be visible to other users because this is necessary for the operation of the application. This may include the name or display name, profile picture, created activities, activity description, approximate location of the activity, sign-up for or participation in an activity, and messages to users who are participants in the conversation.
The user's approximate location is used only to the extent necessary for the application's features, for example to display results within a selected area. We do not show users' precise locations to other users.
8. Who we may disclose data to
We do not sell personal data. We currently do not share it with advertisers for the purpose of displaying ads.
Technical service providers
To operate the application we may use external providers such as providers of hosting, databases, authentication, sending SMS codes, notifications, analytics, error fixing, security monitoring or technical support. These providers may process personal data only for the purposes of providing the application's services, in accordance with our instructions and appropriate contractual and security obligations. Examples of such services may include Firebase, Google Cloud, Firebase Authentication, Firebase Analytics, Crashlytics or similar services, where we use them.
Competent authorities and legal requests
We may disclose data if required by law, a court or a competent authority, or if the disclosure is necessary to protect the rights, safety or legitimate interests of Check Mate, its users or third parties.
Handling reports and security incidents
If a user reports abuse, inappropriate content, threats, harassment or another breach, we may review the relevant data needed to handle the report and protect users.
9. Advertising
The application currently does not use personalised ads and does not pass personal data to advertisers for advertising purposes.
If we introduce ads, personalised advertising or data sharing with advertising partners in the future, we will update the privacy policy accordingly and, where necessary, obtain separate consent from users.
10. Data retention
We keep personal data only for as long as necessary for the purposes for which it was collected, or for as long as required or permitted by law.
| Type of data | Indicative retention |
|---|---|
| Account data | for as long as the user has an active account. |
| Phone number | for as long as the user has an active account, or for as long as it is needed for account verification, security and preventing multiple accounts. |
| Email address | for as long as the user has an active account, or for as long as it is needed for support, notifications and account security. |
| Profile picture | until the user removes it or deletes their account. |
| Activities | until the user deletes them, or as a rule no more than 12 months after the activity ends, unless longer retention is needed for security, reports or legal reasons. |
| Activity sign-ups | as a rule no more than 12 months after the activity ends, unless longer retention is needed for security, reports or legal reasons. |
| Chat messages | for as long as the user has an account, or as a rule no more than 24 months after the last activity in the conversation, unless the user deletes the messages earlier or longer retention is needed for security or legal reasons. |
| User's approximate location | for as long as the user uses the location feature, or for as long as it is needed to display relevant results. We do not keep location history longer than necessary for the feature to work. |
| IP address and security logs | usually 6 to 12 months, unless longer retention is needed for security, the prevention of abuse or legal requirements. |
| Analytics data | for as long as needed to analyse and improve the application, or in accordance with the settings of the analytics tool used. |
| Data of a deleted account | deleted or anonymised within a reasonable period, as a rule no later than 30 days after the deletion request, unless longer retention is needed for legal, security or legal-claim reasons. |
| Push notifications / FCM token | for as long as the user uses the notifications feature, or for as long as the token is needed to send notifications. After notifications are turned off, the device is signed out or the account is deleted, the token is deleted or stops being used within a reasonable period. |
After an account is deleted, personal data is deleted or anonymised, except where we must keep it due to legal obligations, dispute resolution, security, the prevention of abuse or evidencing past conduct.
11. Account deletion
The user can delete their account in the application settings: Settings > Account management > Delete account.
The user may also request the deletion of their account or data by email: [email protected].
A request to delete an account or data may also be submitted via the website: https://checkmate.si/delete-account.
After an account is deleted, we will delete or anonymise the user's personal data, except for data we must keep due to legal obligations, security, the prevention of abuse, the handling of reports or the protection of rights.
12. User rights
In accordance with applicable data protection legislation, the user has the right to be informed, to access, to rectification, to erasure, to restriction of processing, to object to processing, to data portability, to withdraw consent, and to lodge a complaint with the competent supervisory authority.
In Slovenia, the competent supervisory authority for data protection is the Information Commissioner of the Republic of Slovenia.
To exercise these rights, the user can contact us at [email protected]. We will respond to requests within a reasonable period and in accordance with applicable law.
13. Data security
To protect personal data we use technical and organisational measures such as secure connections, verification of user accounts, restricted access to data, database security rules, separation of publicly visible and private data, and limiting administrator access only to persons who need it.
Despite security measures, no system is completely secure. Users must also take care of the security of their own account, device and access to the application.
14. Children and minors
The Check Mate application is intended exclusively for users aged 18 or older.
By using the application, the user confirms that they are at least 18 years old. If we establish that the application is being used by a person under 18 years of age, we reserve the right to restrict or delete the account.
The application is not intended for children. We do not knowingly collect children's personal data. If a parent or guardian believes that a child has created an account or provided us with personal data, they can contact us at the email address above.
15. Data transfers outside the EU/EEA
If we use service providers that process data outside the European Union or the European Economic Area, we will ensure appropriate safeguards such as standard contractual clauses, appropriate data processing agreements or other lawful data transfer mechanisms.
16. Changes to the privacy policy
We may update this privacy policy from time to time. In the event of material changes, we will inform users for example in the application, by email or by publishing an updated version of the policy.
The date of the last update is stated at the top of the document.
